Grand Opening Meeting Minutes (Aug 30, 2006)

The transcript of last week's planning meeting for the Grand Opening (slightly edited) appears below, but here are the principal points:

- The Grand Opening is scheduled for Saturday, October 14

- It will consist of a "ribbon-cutting" event of some sort at mid-day, with a number of other events at various library locations taking place at other times during the day

- Concerns were expressed about the potential for lag resulting from having too many people on Info Island at the same time. The related potential problem is that people wanting to attend events realted to the Opening might not be able to get onto the island if there are too many people.

- In light of this, it was suggested that there be fewer events, and that they be spread over a two day period, starting Friday October 13, when there will be a mixed realith event happening on the island for much of the day.

- There was discussion about the possibility of having an evening event on the Friday night at Mystery Manor, to take advantage of the opportunity to use a Friday the 13th theme.

- A number of things are being planned for the Medical Library, but most are continuous displays rather than discrete events. There is, however, the possibility of inviting a speaker or two to gve presentations.

- It was noted that if we want to invite anyone special to speak or even simply to attend the event, that they should be contacted soon in order to ensure their availability.

- Gonzo Mandelbrot will look into the possibility of inviting Philip Linden (RL: Linden Labs CEO Philip Rosedale) to be part of the main ceremony.

- We will have to give some thought to having volunteers present to answer questions and to give tours throughout the day; we may want to plan on having special directional signage as well.

- The next meeting of the Grand Opening planning group is scheduled for Tuesday, September 12 at 5:00 pm SL time.

- In the meantime, anyone with ideas, comments or suggestions should contact Gonzo Mandelbrot, either through the Google group, on the Drupal site, or by email to gonzoman@videotron.ca.

[17:04] Gonzo Mandelbrot: We had originally started talking about a Grand Opening back in... May?
[17:05] Gonzo Mandelbrot: But it was early July by the time I was tasked with organizing it
[17:05] Gonzo Mandelbrot: I was able to meet with several people from different depts on the island, and I established the Planning Group to coordinate things
[17:06] Gonzo Mandelbrot: We had originally wanted the Opening to happen.. well, about now...
[17:06] Gonzo Mandelbrot: but that was too close to organize in the middle of the summer
[17:06] Gonzo Mandelbrot: The targte date is now Saturday Oct. 14
[17:06] Gonzo Mandelbrot: Lori, anything to add to that synopsis?
[17:06] Lorelei Junot: no sounds exactly on so far :)
[17:07] Gonzo Mandelbrot: Any question up to that point?

[17:07] Gonzo Mandelbrot: Okay, so on to item 2, the general concept
[17:08] Gonzo Mandelbrot: What we're thinking in terms of is an all-day event with activities happening at various times in various places around the island
[17:08] Gonzo Mandelbrot: With the agenda I included my first crack at a schedule...
[17:09] JJ Drinkwater: As it happens, it's also William Penn's birthday
[17:09] Gonzo Mandelbrot: It's right after the agenda in the notecard
[17:09] Gonzo Mandelbrot: My vision at this point -- and everything's up for discussion -- is to start the day in Caledon
[17:10] Gonzo Mandelbrot: The Caledon event would be followed by an event to open Info Island....
[17:10] Gonzo Mandelbrot: essentially the opening of an information and celebration point in a central location
[17:10] Gonzo Mandelbrot: After that I thought we could move to the Med Library...
[17:11] Gonzo Mandelbrot: I wanted to time that early so that Namro could participate easily from the Netherlands
[17:11] Carolina Keats: good idea. he does intend to be here
[17:11] Franja Russell: Excuse me, you might be covering this later but, I scrolled down to the times of various events on the 14th. I don't understand the times. Are you using a 24 hour clock?
[17:12] Gonzo Mandelbrot: I left a couple of open slots before the Noon SL Ribbon-cutting
[17:12] Gonzo Mandelbrot: The times on th notecard are SL Time, EDT, and the Netherlands
[17:12] Gonzo Mandelbrot: So we start at 10 a.m. eastern time
[17:13] Franja Russell: I saw that, but ... are times like 13 to 23 for a 24 hour clock of some kind?

[17:13] Franja Russell: Thanks.
[17:13] Gonzo Mandelbrot: The ribbbon cutting would be at noon SL time, 3 pm eastern or 9 pm Europe... using the 24-hour clock
[17:14] Gonzo Mandelbrot: After that I've left a series of blank hours to be filled in before the 5 pm SL Mystery Manor bit
[17:14] Gerrick Gordimer: I have a question...does each of these events take an hour?
[17:14] Carolina Keats: so you envision this as a sort of grand tour?
[17:14] Gonzo Mandelbrot: I had understood that there was to be some kind of creepy aspect to their piece

[17:15] Gonzo Mandelbrot: I have set aside an hour for each area, but what happens at a given location doesn't have to take an hour
[17:15] Lorelei Junot: Gonzo will there be ongoing tours through the day too?
[17:15] JJ Drinkwater: Padding time, for people to wander around and explore, is a really good idea
[17:15] Gonzo Mandelbrot: The idea is to move people around to all the different places on the island
[17:16] Abbey Zenith: We have to be aware that we cannot have more than 40 or so on the island at once though...we will bog down.
[17:16] Gonzo Mandelbrot: I don't thinlk any given event should be planned to last more than a half-hour or so
[17:16] Lorelei Junot: right we had 60 for Tech Soup
[17:16] Lorelei Junot: and it was very laggy
[17:16] Lorelei Junot: right now we have it set for a max of 60 but we could lower it
[17:16] Abbey Zenith: ok
[17:17] Gonzo Mandelbrot: The lag factor is why we'll need different kinds of events throughout the day
[17:17] Gonzo Mandelbrot: Not everyone will want to go to everything or stay all day long
[17:17] Abbey Zenith: yes
[17:17] Gonzo Mandelbrot: We do run the risk of being too successful for our own good
[17:18] Gonzo Mandelbrot: In addition to the scheduled events, I also propose we have some central activities
[17:18] Gonzo Mandelbrot: That's where island tours, for instance, wpould come in to play
[17:18] Gonzo Mandelbrot: We had also talked about trying to have fun giveaways throughout the day
[17:19] Gonzo Mandelbrot: How does that overall concept sound, keeping in mind that specific scheduling can always be adjusted?
[17:20] Abbey Zenith: sounds great!

[17:20] Carolina Keats: very nice
[17:20] JJ Drinkwater: It sounds good
[17:20] JJ Drinkwater: How about some live music to fill in some time?
[17:20] Franja Russell: Excuse me, there was an event I was trying to get to last week. For about 40 minutes a blue card kept coming up on my screen saying the sim was full, try later. That's kind of discouraging.
[17:21] Gonzo Mandelbrot: That's a real risk we'll be running here too, Franja
[17:21] Franja Russell: If you limit the sim to as few as 30 to 40, will people keep trying to get here?
[17:21] Lorelei Junot: We want to focus on info island I
[17:21] Lorelei Junot: but we could have some fun events on II
[17:21] Carolina Keats: so do we invite & ask for rsvp?
[17:22] Gonzo Mandelbrot: Live music in the central quad might be a good draw
[17:22] Abbey Zenith: we'll be making announcements, right Lori, Gonzo? So it is hard to tell the numbers we will get.
[17:22] Max Batra: is the limit for both islands or do each have a limit
[17:22] Gonzo Mandelbrot: We have our club now too
[17:22] Carolina Keats: plus - when we limit to 40, does that include infoisland staff?

[17:22] Gonzo Mandelbrot: and advance publicity will pull in at least some people

[17:23] Carolina Keats: what if we had 2 tours - morning and afternoon?
[17:23] JJ Drinkwater: What if we spread the events out more, to make sure people come & go
[17:23] Abbey Zenith: I think it will be important to make sure the staff only comes when scheduled, no matter how much they want to come to others... tough I know, some of us will want to be here all day!

[17:25] Gonzo Mandelbrot: I'll be able to ask the guy who organized the Suzanne vega concert.... I'm meeting him on other business on Friday
[17:25] Gonzo Mandelbrot: To go back to an earlier question... do we want to spread this over more than one day to reduce the risk of lag?

[17:28] Franja Russell: At least using both Saturday and Sunday would help the people who have standing committments for one or the other day.

[17:29] Abbey Zenith: I think two days at most, unless we have one specific event each night during the week before.

[17:29] Gonzo Mandelbrot: I would still tend towards a formal opening ceremony mid-day on the 14th

[17:30] Gonzo Mandelbrot: But the idea of a slow build to the main event is not necessarly a bad idea
